Built by a school,
for schools
RubyManager started on a windy beach in Portugal, because running a school deserves better than spreadsheets and lost WhatsApp messages.
What is RubyManager?
RubyManager is a complete CRM for water sports, gyms and adventure schools. It brings your students, schedule, courses, gear and payments into one fast, mobile-first app, and adds a WhatsApp assistant that answers bookings around the clock. Whether you teach kitesurfing, surfing, diving, martial arts or cycling, it adapts to how your school actually works.
Our story
RubyManager started in 2019, when we opened a water sports center in Lisbon teaching kitesurf, surf and SUP. Back then everything was on paper and in Excel sheets. Dionísio, one of the founders and a software engineer by trade, built a simple web app so the people actually running the school (his wife, her business partner, and himself) didn't have to keep chasing spreadsheets anymore.
Two years later, Dionísio told an old friend, Juliano Brito, about it. Juliano runs Elite Fight Gym in Setúbal, and had the same problem: an Excel file that never quite matched what students had actually paid. That is when the app grew to handle a second school, and we added the option to configure it for a completely different sport. Multi-tenancy came from a real need, not from a plan.
From there RubyManager kept growing to fit both schools. In 2025, a surf school in Caparica joined too. They use it to see where their customers are actually coming from, and to stop missing reminders for private lessons, the same everyday problems every school runs into, no matter the sport.
Today RubyManager is used by schools across Portugal, Spain and beyond. It is developed and operated by Waves4Life Lda, and it keeps improving with every season and every piece of feedback from the schools that rely on it.
